Athelas Air vs. Prompt at a glance
What Prompt practices told us on calls, next to how Air handles it.
Athelas Air
What Prompt practices told us
Notes and Scribe
Scribe fills the note and the flowsheet together, inside the note
What Prompt practices told us
The flowsheet sat in its own tab, and the scribe didn't fill it
Claims
Payer rules hold a claim before it goes out
What Prompt practices told us
Denials surfaced after the patient had been in five times
Reports
Revenue by month and clinic that ties to your bank deposits
What Prompt practices told us
Reports didn't match the bank account
Pricing
One price for EMR, Scribe and billing
What Prompt practices told us
Cost rose with every provider and add-on
Payments
Tap-to-pay reader, text-to-pay with Apple Pay, statements that go out
What Prompt practices told us
Cards keyed in by hand; statements that never reached patients
Support
A named team, on site at go-live
What Prompt practices told us
Onboarding ended at go-live, and support was email only
Eligibility
Checked a week ahead, with deductible and out-of-pocket left on the visit
What Prompt practices told us
Verification didn't always work; refunds after deductibles were met
Faxes
Every clinic's fax in one inbox, sorted to the right chart
What Prompt practices told us
Inbound faxes on a separate website; fax lines that disconnected
Plan-of-care texts
Weekly text to under-scheduled patients, with exclusions you choose
What Prompt practices told us
All or nothing, so practices turned them off
Waitlist and online booking
Both
What Prompt practices told us
Prompt has both too
Scribe fills the flowsheet, inside the note.
Record the visit and Scribe drafts the note and fills the flowsheet in the same place: interventions, minutes, units and CPTs. Check both on one screen and sign.
On Air
One note, one flowsheet, filled together. Scribe is part of Air, not a separate contract.
What Prompt practices told us
The flowsheet sat in its own tab, and the scribe didn't fill it.

The flowsheet inside the daily note: interventions, minutes, units and CPTs filled in by Scribe.

A claim held before submission, with Athelas AI explaining which practice rule caught it.
Catch the denial at the first visit, not the fifth.
Write a payer rule in plain English. Air holds every claim that breaks it before it goes out, and the fix covers every visit after it.
On Air
Rules and coding edits run on every claim before submission.
What Prompt practices told us
No ICD-10 edits, and denials came back after five visits had been billed.
“By the time we get the denial or rejection from the insurance, in some cases, the patient's already been there 5 times.”
Justin, Biller · Knox Physical Therapy
Reports that match your bank.
Revenue by month, clinic and payer, a month-end close on date posted, and a report that ties every bank deposit to the claims it paid.
On Air
Your accountant gets numbers that tie out.
What Prompt practices told us
Reports by service date and by deposit date never matched, and the good ones were hard to find.
“The reports that [our old EMR] has given me as far as what we made do not match what our bank account is showing.”
Bryan Olson, Owner · First Coast Rehabilitation

Financial Health: revenue by month, clinic and payer.
One system, one price, as you add providers.
EHR, Scribe, billing, eligibility, payments and fax come together in Air, so adding a provider doesn't add a new contract.
On Air: one agreement
EHR and flowsheets
Air Scribe
Billing and claim rules
Eligibility
Payments and statements
Fax and patient texting
Reports
Prompt, as practices described it
EMR priced per provider
RCM as a percentage of collections
Kiosk, scribe and engagement as add-ons
A fee on self-pay services
Payments that land, statements that go out.
Patients pay at the desk with tap or chip, or from a text with Apple Pay. Payments post to the right balance, and statements go out on schedule by text, email or paper.
On Air
The reminder and the payment link arrive together.
What Prompt practices told us
Cards were keyed in by hand, and some patients never got a statement.

A patient balance in Air, and the text-to-pay checkout your patient sees.

A team that answers, and shows up for go-live.
A named Athelas team runs your switch, comes on site for go-live and stays on weekly calls after it.
“Professionalism and kindness to our team, your demeanor has been night and day difference from [our old EMR].”
Lee Easley, Owner · Knox Physical Therapy
Know what the patient owes before they walk in.
Air checks eligibility 7 days before every appointment for most payers and shows the deductible and out-of-pocket left on the visit, so the front desk collects the right amount.
On Air
No more refunds after the deductible is met.
What Prompt practices told us
Verification didn't always work, and patients kept paying after they hit their out-of-pocket.

Today's schedule with eligibility status and alerts on every visit.

One inbox for every clinic line. AI-sorted faxes are filed to the matching chart.
Every clinic's fax in one inbox.
Each clinic keeps its own fax number. Incoming referrals land in one inbox, and Air files the ones it can match to the right chart. The rest wait in Unprocessed for your team.
On Air
Processed and unprocessed, not just read and unread.
What Prompt practices told us
Inbound faxes lived on a separate website, and clinic fax lines kept disconnecting.
“I actually like that better. Like, you've got processed, unprocessed versus read and unread.”
Lee Easley, Owner · Knox Physical Therapy
Plan-of-care texts you can control.
Every week, Air texts patients booked for fewer visits than their plan of care calls for, with a link to book the rest. Leave out anyone who's traveling or discharged.
On Air
Choose who gets the text, one patient at a time.
What Prompt practices told us
The texts went to everyone or no one, so practices turned them off.

A weekly flow for under-scheduled patients, with two patients left out, and the text a patient gets.
What you use in Prompt today is here too.
Prompt practices liked their waitlist and online booking. Air has both.
Waitlist
Patients join from the patient portal. When a slot opens, your staff sends it to the list by text and email.
Online booking
Your own booking link, with slots held for the insurances you choose.

Your Prompt history, in Air before day one.
We extract your records from Prompt and map them into Air, so your team is not re-keying anything. Your providers log in to their own patients and schedule, not a sample account. Meier & Marsh moved every patient file and ledger out of Prompt in August 2024 and opened the front desk in Air the following Monday.

A zero-risk way to find out.
Run Air and Scribe on your own patients, in your own clinic, at no cost. Three days of real visits is a better evaluation than any demo.

How the pilot works
Four steps, and most of the work is ours. Prompt stays live the whole time.
Apply
Tell us about your practice. A short scoping call sets the providers, the dates, and your start date.
We set it up
Five days. We migrate your Prompt data read-only, load your templates and train your team before your pilot goes live.
Pilot Starts
Your providers use Air and Scribe with real patients for three days, with our team checking in alongside them.
Decide
Keep it, ask more questions, or walk away. We wrap up against the success criteria you set.

Questions before you leave Prompt.
Will my reports match my bank?
Yes. Air closes each month on date posted, and the Bank Deposit Reconciliation report ties every deposit to the claims it paid.
How does Air catch claim errors?
Payer rules and coding edits run before a claim is submitted. Write a rule in plain English, like “Hold Medicare claims without a plan of care on file,” and it applies to every claim after it.
What does Air cost compared with Prompt?
One agreement covers the EHR, Scribe, billing, eligibility, payments and fax, so adding a provider doesn't add a new contract. We price it for your providers and clinics on the scoping call.
Which payers does eligibility cover?
Most payers, through Waystar, Availity and UHC. Air checks each appointment 7 days before the visit and shows the deductible and out-of-pocket left.
Does Air have a waitlist and online booking?
Yes, both. Patients join the waitlist from the patient portal, and your staff sends open slots to the list by text and email. Online booking uses your own link, with slots held for the insurances you choose.
What comes over from Prompt?
Demographics, insurance and payer priority, referring providers, diagnoses, prior authorizations, appointments, cases, ledgers, and clinical notes, in five business days. Record counts are matched block by block, and we walk through your own data with your team before go-live. Prompt stays live the whole time.
Is the pilot really free?
Yes. The Athelas Air pilot is free, with no contract and no commitment to continue. You tell us about your practice on a short call, we set up your environment, and your providers try Air with real visits. At the end you decide whether to move forward.
